Position:  Operations Specialist
Reports To: Director of Operations
Type: Full-Time
Position Summary:  The Operations Specialist will provide essential operational and clerical support across the organization under the guidance of the Director of Operations. This entry-level role focuses on assisting with day-to-day tasks to ensure the smooth functioning of various departments and programs, supporting the organization’s mission of empowering girls.

The Girls Inc. national network serves over 140,000 girls through 84 affiliates.  Girls Inc. of Greater Philadelphia & Southern New Jersey is the local affiliate serving 3,000 girls in the Greater Philadelphia region and Camden, New Jersey.

Responsibilities

General Responsibilities

  •  Supports the employee life cycle by maintaining staff records through data entry and on-site files and other tasks.
  • Maintains receipts and records of purchases, working closely with program managers and budgets.
  • Participates in regular bookkeeping meetings to ensure financial records are accurate.
  • Helps support annual audit through receipt management and budget integrations.
  • Helps support staff in regard to day-to-day tasks outlined in a technology plan.
  • Checks office phone messages and delivers them to the appropriate person.
  • Helps support and organize a well-maintained office environment including supply procurement, managing financial spreadsheets for purchases, supply storage and distribution to teams and programs.
  • Supports facilities management by doing weekly on-site inspections of office/program spaces and reporting maintenance and cleanliness issues to the Director of Operations and re-ordering office items as needed.
  • Supports leadership scheduling and set-up for meetings and events, including the CEO and Board of Directors.
  • Supports programs and program teams as needed with daily operations and special events.
  • Participates in special tasks as requested.

Requirements:

  •  Bachelor’s Degree is required.
  • 1-2 years’ experience in an Administrative Assistant role.
  • Strong organizational skills and attention to detail.
  • Reliable, proactive, and able to follow instructions effectively.
  • Strong written and verbal communication skills.
  • Basic proficiency in Microsoft office suite, including Word and Excel.
  • Ability to lift and move boxes or supplies (up to 25 lbs.) and perform physical tasks as needed.
  • Submit background clearances upon employment (FBI criminal, Child Abuse History Verification, and State criminal).
  • Ability to keep sensitive data confidential.
  • Flexible and friendly attitude and good humor.
  • Passion for supporting the mission of Girls Inc. and empowering young girls.

Hours per week: 35 (Monday-Friday, evenings and Saturdays as needed)
Location: Hybrid work schedule. Must be able to commute to Girls Inc. at the Bok Building (South Philadelphia).
Salary: $48,000. We offer full-time employees comprehensive benefits, including medical and dental, a 403B retirement plan, and generous Paid Time Off.
